We are recruiting for a permanent full-time Executive Assistant to act as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO and Board of Directors. The Executive Assistant serves as a liaison to the Board of Directors, Foundation Board and the Senior Leadership Team.  This position supports the continuous administrative activities of the organization, maintaining comprehensive knowledge of the agency's services, and upholds the overall vision, mission and core values of the organization.  The Executive Assistant will have the ability to work on special projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of responsibilities and confidential matters with tact and discretion.   
The rate of pay for this position is $34.18 per hour working up to 37.5 hours per week.
Minimum requirements of this position include:
Degree or Diploma in Business Administration or a related discipline, or acceptable equivalency as determined by the employer;
Minimum of seven years recent full-time experience in a Senior Administrative support role, including experience in providing support to a Board of Directors or Board Committees;
Proven ability to work both independently and in a team environment;
Demonstrated exceptional organizational skills with the ability to prioritize multiple tasks and meet deadlines;
Meticulous attention to detail and strong interpersonal skills;
Demonstrated ability to deal with sensitive and confidential matters with professionalism, diplomacy, tact and discretion;
Proficient computer skills and experience with Outlook, Office Suite, Word, PowerPoint, Excel, AdobePro, and MS Project.
Duties and responsibilities (including, but not limited to):
Act as the primary liaison for the CEO and Board of Directors;
Provide administrative support to the CEO and Board of Directors including: drafts, formats, proofreads, collate and distribute correspondence, reports, minutes, presentations, briefing notes, and meeting information packages, including those of a sensitive or confidential nature;
Assist the CEO with implementation of the Strategic Plan;
Work closely with Marketing and Communications Manager to prepare background materials/briefing notes and presentations for the CEO, executive team members, Board of Directors, and external stakeholders;
Act as a liaison with the Ministry of Children Community and Social Services, County of Simcoe, government representatives, agencies, and community partners on matters involving committees the CEO chairs or participates in;
Provide leadership and guidance to Administrative/Reception team; work to identify administrative process improvements and define standards for new processes for senior leadership approval.
Special factors of this position:
Must be prepared to work flexible hours including evenings and weekends as required;
Must have a valid Class G driver's License and own reliable transportation;
Must be able to do some lifting of supplies and materials from time to time;
Must have the ability to work under pressure of deadlines associated with the department.

We are recruiting for a permanent full-time I.T. Associate to provide I.T. support including setting up hardware and software, assisting in maintaining I.T. equipment inventory, data entry, password management, telecommunications and administrative support. This position will assist with the performance, maintenance, integrity, and security of the agency information systems and databases as directed, agency systems maintenance requiring setting up user accounts and ensure front-end accessibility and value for end users. This position will provide support to the I.T. Help Desk, documenting and tracking all requests.
The rate of pay for this position is $24.33 per hour working up to 37.5 hours per week.
Minimum requirements of this position include:

Post-secondary Diploma in computer science, information systems or a related field, or acceptable equivalency as determined by the employer;
Minimum of one (1) year recent full-time work experience, preferably in computer networks and systems maintenance;
Knowledge of new systems, information, hardware, software, and upgrades;
Ability to troubleshoot and resolve multiple issues;
Ability to multitask, prioritize and manage time efficiently;
Strong verbal and written communication skills;
Demonstrated interpersonal skills with proven record of delivering excellent customer service;
High degree of initiative and desire to develop and grow their skills within the I.T. field.

Duties and responsibilities (including, but not limited to):

Set up work stations with necessary I.T. devices;
Provide orientation to users on how to operate I.T. devices, software and computer equipment;
Responding in a timely manner to services issues and requests;
Troubleshooting hardware and software issues, and repairing or replacing damaged hardware;
Assist with I.T. and Information Systems' help desk requests; record, track and document the problem-solving process;
Monitor I.T. help desk issues for statistical trends and provide reports to the I.T. team, including offering ideas/solutions to support end users;
Contribute to the design, modification and maintenance of the backend structure of electronic systems in accordance with agency and department standards, legislated requirements, County and Accreditation standards;
Assist in set up of internet and cable/streaming services in group living locations;
Support the appropriate issuing, set up and support of agency land/fax lines, mobile and smart phones;
Coordinate Business and group home phone lines, install new lines and make amendments to existing lines;
Assist with maintaining security procedures and standards for systems; promote the safety of information by controlling access permissions and privileges;
Provide administrative support for the I.T. team as required.

Must be prepared to work flexible hours and be available for off hour emergencies if required;
Must be motivated to continually upgrade knowledge and skills and keep current on the latest technology;

We are recruiting for a permanent full-time I.T. and Communications Specialist to implement the Agency's communications strategies for internal and external stakeholders using technology such as website maintenance, graphics design of documents and social media campaigns. This position will ensure all I.T. communications, assets and resources are up-to-date. This position will also coordinate the performance, maintenance, integrity and security of the agency information systems and databases as directed, agency systems maintenance requiring setting up user accounts and ensure front-end accessibility for end users.
The rate of pay for this position is $28.70 per hour working up to 37.5 hours per week.
Minimum requirements of this position include:
Post-secondary Degree or Diploma with courses in technology, graphics design, web development, communications or related areas, or acceptable equivalency as determined by the employer;
Minimum of five (5) years recent full-time related experience;
Advanced knowledge of common technology hardware (PC systems, servers, I.P. telephones) and software (Microsoft Office Suite, SharePoint, Windows 10, Adobe Create Suite);
Proven ability to diagnose common issues in I.T. equipment and software, devise appropriate solutions and resolve issues;
Demonstrated experience in digital marketing, including social media campaigns and measuring impact, web development, web analytics and reporting;
Ability to learn and adapt to new and changing hardware and software applications;
Excellent verbal and written communication skills; organizational, problem solving and analytical skills;
Proven ability to provide excellent customer service and support;
Have high degree of initiative and desire to develop and grow their skills in I.T. and communications;
Think strategically and creatively with a meticulous attention to detail;
Bilingual (English and French) is an asset.
Duties and responsibilities (including, but not limited to):
Support the marketing and Communications Manager in the development of strategic and timely communication plans to engage employees, volunteers, supporters, potential supporters, partners and the general public to increase public awareness about Empower Simcoe and its Foundation;
Work with key stakeholders to brainstorm content ideas, in line with the Agency's vision, mission and core values to promote programs and services provided;
Design and coordinate digital and print communication materials (e.g. brochures, fact sheets, infographics, etc.), as well as videos for use in the Agency newsletter, annual report, fundraising events, recruitment efforts, community awareness campaigns, and employee/volunteer recognition;
Provide communication recommendations and techniques to Supervisors and Senior Leadership Team;
Coordinate the translation of communication materials as required;
Lead for design of all social media platforms, external and internal website including layout, creation and modification of appearance, and generating and revising content;
Support the I.T. team with network administration; test new versions and updates to systems;
Create I.T. resource documents, processes and guides based on needs to assist the end user; create and maintain I.T. Policies and Standards of Practice, procedures and guidelines;
Research new technology and collaborate with vendors and internal stakeholders for new software solutions and customization of existing and new applications and reports; assist in obtaining necessary quotes for technology equipment/services and preparing purchase orders;
Oversee end-user services to ensure high quality service level and proactively identify reoccurring problems, suggest solutions, implement accordingly and update processes as required;
Develop training documentation and facilitate training for new and existing users; provide support, consultation and advise to all end-users.
